Clock tab

The Clock tab of the browser extension's side panel lets you clock in and out, take breaks, correct a missed clock-out, request time off and bid on holiday shifts without leaving HaloPSA.

The Clock tab is your timeclock in the side panel. You clock in and out, start and end breaks and lunch, fix a missed clock-out, ask for time off and bid on holiday shifts, all beside the HaloPSA page you are working in. Payroll itself stays in the QuantumOps web app.

Before you start. Install the browser extension and sign in to it. The tab is in the More menu. It needs all of these:

  • Your organisation has the Timeclock & Payroll module switched on.
  • You have the Administrator, Service Desk Manager, Timeclock, Timeclock Admin or Payroll Admin role. The Technician role alone does not give access to the timeclock.
  • Your login is linked to your HaloPSA agent, and that agent has a timeclock record, or a payroll employee record is linked to it or uses the same e-mail address.

Without the role, the tab is not offered or it says Your account doesn't have timeclock access. An administrator can grant the Timeclock role. The tab then works after you sign out and back in.

The Clock tab stays where it is when you move around HaloPSA, so opening another page does not interrupt a punch.

See your status

The top of the tab shows Timeclock with your name, a chip with your current state, such as working, on a break or at lunch, and a running timer while you are clocked in. Under it:

  • Role reads Payroll employee when you are one.
  • Clocked in shows when your shift started.
  • Today shows the hours you have worked today.

The tab reloads your status every minute. When your login is not linked to a timeclock agent or a payroll employee, a warning says so and no punch buttons are shown.

Clock in, take a break and clock out

The buttons you see are the ones that apply right now: Clock in, Clock out, Start break, End break, Start lunch and End lunch.

  1. Select the button for what you are doing.
  2. Read the confirmation. It says who the punch is recorded for and what it does. For example, Clock in starts a new shift now, Clock out closes the shift that started at a given time, and starting a break or lunch pauses worked time until you end it.
  3. If your timeclock record has a PIN, enter it in Timeclock PIN. The PIN is also asked when your account is matched only by e-mail address.
  4. Confirm. The tab records the punch and says so.

Every punch is confirmed first.

The confirmation says a break or lunch pauses worked time. Payroll takes off lunch only, up to 2 hours per lunch. Break punches are recorded and shown in reports, but payroll does not take them off your paid hours. See How pay is calculated.

If your account is matched only by e-mail address and has no PIN, the punch is refused with This payroll record is matched to you by e-mail address only and has no timeclock PIN, so a punch cannot be authenticated. Ask an administrator to link it to your Halo agent or to set a PIN.

Open Today's punches to see each punch of the day with its time, the hours it covers and any note. A punch that is still running is marked projected.

Correct a missed clock-out

When a shift has been left open for too long, the tab shows a Missed clock-out card instead of letting you punch again. It says when your shift started and how many hours ago, and asks When did you leave? The punch buttons stay off, with the hint Correct the missed punch first, until you send a correction.

  1. In I clocked out at, enter the date and time you actually clocked out. It starts at the time you clocked in, so move it forward.
  2. In the reason box, say why the punch was missed. Your supervisor sees this.
  3. Enter your Timeclock PIN if the card asks for it.
  4. Select Send correction and clock in.
  5. In Send this correction?, check the clock-out time and the hours it gives that shift, and select Send and clock in.

The correction goes to your supervisor for approval, and you are clocked in again right after it. The clock-out time must be after the shift started and cannot be in the future, and the reason is required. If the tab says another kind of exception needs resolving, resolve it in the web app.

Ask for time off

Time off shows your balances and your requests. When your login is not linked to a payroll employee, or time off is not set up for you, the section says PTO is not available for your account. or gives the reason.

The balance lines show what you have: Available with the most you can hold, Personal, Expiring with the date it ends, and Used, all in hours.

To request time off:

  1. Select New request.
  2. Choose the Start and End dates and the number of Hours.
  3. Choose the Type and the Balance the hours come from. Each balance shows how many hours it has left. Unpaid time has no limit.
  4. Add a note in Notes (optional) if you want one.
  5. Select Submit request. The panel stops you if the dates are wrong or you ask for more hours than the balance holds.
  6. Read the confirmation and select Submit. A request goes to your supervisor for approval. This includes unpaid time, even when the confirmation says an unpaid request is recorded without approval; it still shows as Pending. See Who approves.

Your latest requests list their dates, hours and type, and a status of Pending, Approved, Rejected or Cancelled. A supervisor's note appears under the request. Select Cancel on a pending request, then Cancel request, to withdraw it. Nothing leaves a balance until a request is approved, so cancelling a pending request changes no balance. With none the section says No time-off requests yet.

Bid for holiday shifts

Holiday bids lists the holiday shifts that are open for bidding. It says Holiday bidding is not available for your account. or gives the reason when you are not eligible, for example when your supervisor has not enabled it for you. Times are shown in your local time.

Each shift shows the holiday, its date and hours, the role, how many slots there are with their pay multipliers, and how long the queue is. If you have bid, it shows your place in the queue, and if you have not, it shows where you would be.

  1. Select Bid on a shift.
  2. Read the confirmation. It shows the shift and your projected place in the queue with its multiplier, and says your supervisor awards the slots when bidding closes.
  3. Select Place bid.

A shift you have bid on shows your bid's status, such as Pending or Approved. Select Withdraw on a pending bid to leave the queue. Bidding again puts you at the end of the queue. Past bids lists earlier bids with their result and the multiplier. With no shifts open the section says No holiday shifts are open for bidding. What stays in the web app

Schedules, exceptions and payroll are handled in the QuantumOps web app. A line under your status links to the timeclock there. Clocking in and out explains the web timeclock.
