Board setup wizard and tour

The setup wizard configures your dispatch board in a few questions, with an optional step-by-step customisation and a practice ping, and the board tour explains every part of the board in fifteen stops.

The setup wizard gets your dispatch board working the way you work. In three short questions you say who you are on the board, how much you want to hear and how hard the board should push. You can stop there, or go on to tune every setting and try a practice ping. A tour of the board follows the first time. Dispatchers, service desk managers and customer success staff each go through it once for their own board.

Before you start: you need a role that can open the dispatch board: Administrator, Service Desk Manager, Dispatcher or Customer Success (see Opening the dispatch board). The wizard checks every choice against the locks and limits your administrator has set. A choice that is locked shows Set by your admin.

When the wizard starts

The wizard opens the first time you open the board, and again after you choose Reset to defaults. It suggests a role from the Agent role set for you in Team Management (see Inviting people, roles and agent links): Dispatch suggests Dispatcher, and SDM Primary or SDM Secondary suggests Team lead. Without one, it looks at your QuantumOps access roles. If you do not want to answer, select Skip, use defaults and the board uses the defaults for your role. Where your organisation's server cannot save settings to your account, the wizard does not start by itself.

You can run it again whenever you like. Select Settings, then Run the setup wizard again.

Run the quick setup

The quick setup has three screens and takes about half a minute. Select Back or Next to move between them.

  1. Who are you here? The wizard says what it found for you in HaloPSA, for example your role and team, and asks whether that is right. Pick the card that matches how you use the board:

    • Dispatcher: move every incoming ticket to the right person, fast.
    • Team lead: keep the team's SLA and people healthy.
    • Customer success: keep named accounts healthy.

    The card that matches your HaloPSA role is marked as suggested.

  2. How much do you want to hear? Choose Calm, Standard or Watchful. Each card shows how many pings it would give you on the real board right now.

  3. How pushy should the board be? Choose Gentle, Standard or Strict. A small animated hex shows the loop for the mode you pick. Strict is offered only when your administrator allows it. What each mode does is set out in Choose how pushy the board is.

Select Save and finish on the last screen. The wizard then says "Your board is ready" and shows what your choices would do on your board now. You have three choices:

  • Use this board closes the wizard.
  • Customise goes through the optional steps below.
  • Try a practice ping goes straight to the practice.

Press Esc on a quick-setup screen to close the wizard and use the defaults.

Customise in up to 11 steps

Customise shows one step at a time under "Step 1 of 11", with a bar to jump to any step. Every step starts with a sensible choice, and you can leave any of them with Next. The step Lists and badges is marked optional.

What do you watch?The teams and ticket types you care about, and narrower limits such as ticket types to skip, priorities and clients. Which tickets can ping you. Your intake queue. Clients that send most of your low-priority tickets, which you can mute.
What counts as urgent here?The priorities that mean act now, how long before a breach a ticket pings (15, 30, 45 or 60 minutes), VIP and watched clients, and how long a customer may wait for a reply.
Working hours and coverageYour working days, shift, time zone and breaks, what pings outside them, and a reminder to hand over tickets when your shift is about to end.
Queue and pingsHow many pings show at once, how many one signal may raise in an hour, and what waits in the Later list.
Tell me when…One switch for each situation that can ping you, with how often it would ping on your board right now.
When a ping goes unansweredWhether a dismissal asks for a reason, how often a ping may be snoozed, when an unanswered ping escalates, and whether your lead is told.
Notifications and soundBrowser notifications (Off, P1 only or P1 and P2), the tick sound with a preview, quiet hours and, when you have a linked Slack or Teams account, a nudge in chat.
Look and layoutDensity, what the board opens grouped by, the numbers in the header, where the queue sits, the ping style, where Pulse sits, and which tabs and Intel panels you have.
Lists and badgesYour watch lists and footer badges. Leave it alone to keep the role's starting set.
Preview and saveA sentence saying what the board would show, up to six of the pings, and a list of what you changed from your role's defaults. Select Save settings to save.
Try itThe practice ping.

Press Esc to go back to the ready screen when you have unsaved changes; they are kept there, and Use this board saves them. Press Esc again to close the wizard without saving them. With no unsaved changes, Esc closes the wizard.

The quick setup is saved when you select Save and finish. The customise steps are saved when you select Save settings in the preview step, or Use this board. The server checks the settings first. Try a practice ping

The practice shows you the loop of a real ping on a made-up ticket for a client called Practice Co. It uses the settings you have chosen, takes about twenty seconds and never touches your real board.

  1. Select Try a practice ping, or reach the step Try it from the customise steps.
  2. Select Start the practice.
  3. Watch the hex for the ripple that shows a ping. Select the hex, or select Look at it.
  4. Read the card, which says why the ping is there and what to do first. Select the recommended action, then select it again to confirm.
  5. The practice checks that it took and clears the ping.

A line under the practice tells you what to do at each point.

Take the board tour

The tour is a short walk through the board with a spotlight on each part. It has 15 stops:

  1. Welcome to your dispatch board

  5. Intel, Rules, Settings, Workspace and Describe
  6. Needs you
  7. Queue
  8. Tracked tickets and Lists
  9. Agents
  10. The hex field

  15. Change anything, any time

Use Next and Back, or the arrow keys, to move. Select Skip tour or press Esc to leave. On the last stop the button reads Done. A stop for a part that is not on screen is skipped, for example a panel you have hidden, a tab your role does not have, or a toolbar that a narrow window has folded away. While the tour is open, the board's own keys are paused and clicks on the board do nothing.

The tour starts by itself after the wizard on your first visit, unless this browser has already seen it, and again after Reset to defaults. Running the wizard again from Settings does not start it. If the tour changes in a later release, the board offers it once more to people who finished or skipped an older version.

To replay it, select Tour in the toolbar, or Settings and then Take the tour.
